Sampling Programs – Sampling Program Creation - Overview

Tool Location: Sampling > Program Set-Up > Create Sampling Programs

This form allows the user to build sampling programs or sampling schedule by selecting a series of sample locations, required test packages, and sampling frequency.  The program developed here will be used in the Sample Collection tool and referred to as a ‘scheduled’ sample. The Sampling Program form is shown below.

Note – The term “Sample points” can also be referred to as Sample Locations or Intervals. They all mean the same thing in this context.

OPG REMP Notes

The REMP program was pre-configured with sampling programs starting in 2008. Subsequent years can be best handled by duplicating the program of the previous year and making changes where required.

Sampling Programs – Sampling Program Creation - Adding A New Sampling Program

1.        Press the Add New Program button. You will be prompted to enter the new program name. After entering the program name, you will automatically be placed in Edit mode.

2.        Decide if this sampling program will repeat or not by either checking (or not checking) the Recurring? checkbox.

3.        Type start and end dates of program (double click fields for a calendar)  The start and end dates are used by the system to generate projected sampling dates for each program.

Note – even if your program is not recurring (ie. it only happens once), you should still enter an end date. This end date is used to determine at which point uncollected samples will no longer appear in the sample collection form.

4.        Enter an optional description of the sampling program.

Note - The Program Active? check box can be used to activate or de-activate the program. De-activated programs will not appear anywhere in SiteFX (eg the sample collection form.)

Sampling Programs – Sampling Program Creation - Adding Intervals, Duplicates, Alternates and Field/Trip Blanks to a Sampling Program

The area of the form used to add new intervals (ie sampling points) to the sampling program is shown below.

The left most section under the Interval Filter Criteria title helps you to filter the list of ALL available sampling points down to something manageable to work with. The result of your filtering appear under the Available Intervals heading. The sampling points that are actually part of your program appear at the far right under the heading Intervals to be Sampled.

1.        Choose the appropriate site from the Site drop down box.

2.        Choose either the Area of Site, Type of Location (or Interval), Study Name or Sampling Program (if based on another sampling program) to narrow the list of intervals that will be produced.

3.        Following the option selected in the previous step, the box immediately below will become filled with more filter options such as a list of areas or studies. Choose from the list and the Available Intervals box will become populated with intervals which meet your interval criteria.

Note: You can switch between the interval name and interval alternate name by pressing the button immediately below the Available Intervals title.

4.        From the Available Intervals box, select the intervals you wish to add to your program by double clicking on their name or pressing the Add Interval button. As this is done, the names will be added to the Intervals to be Sampled list

5.        When completely finished editing a Sampling Program you must press the Save / Cancel Changes button

Notes:

o        If the interval you wish to select is not on the Available Intervals list, you can reselect the filters at any time. If the interval has not yet been added to the system, you must add it using the Location Explorer form and then close and re-open the Create Sampling Programs form.

o        You can highlight several intervals at once by click and dragging or using Ctrl+Click.

Duplicates can be added by clicking on the name of an interval which has already been selected and pressing the Add Duplicate.  When this is done, a message box will open prompting the user for the name of the duplicate. Two samples will now be required from this interval, one labeled with the interval name, the second with the duplicate name.  The system tracks the link between the two such that the duplicate results can be compared to the original. Also, this duplicate name will appear on sample bottle labels and chain of custody forms.

Field and Trip Blanks can be added by pressing the Add Field Blank or Add Trip Blank buttons. The blanks will be automatically be given a random number prefixed with either FB or TB

Alternates refer to an alternative sampling location should the desired sampling location not be available. To create an alternate, select the preferred sample location from the Intervals to be Sampled list at the far right. Next choose the alternate from the Available Intervals list. Finally, press the Add Alternate button.

Sampling Programs – Sampling Program Creation - Removing Samples from a Sampling Program

1.        Select the appropriate program from the Program Name drop down list.

2.        Press the Edit Program button.

3.        Select the interval you wish to remove from the Intervals to be Sampled box and press the Remove Interval button. A message box will ask you to confirm that that you wish to remove the interval. Press Yes to remove.

4.        Press Save / Cancel Changes when finished.

Sampling Programs – Sampling Program Creation - Adding Analysis Packages to All Intervals of a Program

Analysis (or Test) packages added through this method will apply to all of the intervals in this program. To address individual interval requirements, see the section Adding Analysis Packages to Individual Intervals.

OPG REMP Notes

The REMP sampling program uses a test package called ‘Collection’ so that the collection of samples can be at a different frequency than the required analyses.

1.        If not already selected, choose the appropriate program name from the Program Name drop down list.

2.        Press the Edit Program button.

3.        From the drop down lists in the Analysis and Frequency box (section 3 on the form), select the required analytical package(s).  Multiple packages can be assigned to a single program.  The section of the form is shown below.

Note: The list of packages is generated from the Laboratories form (see the Laboratories section for more information). The Sampling Program form may need to be closed and re-opened to update the list of packages if changes to the laboratory packages have been made during the current working session.

4.        For each selected package, click the required sampling frequency from the list. If you do not see sampling frequency, see the note below.

5.        Press the Save / Cancel Changes button when finished.

Note: Depending on whether your program is recurring or not, the Analysis and Frequency section will look slightly different. The two alternatives are shown below.

Notes/Tips:

·         When choosing the frequency, there are often 2 similar choices. For example, 1m and 30d. The 1m option would have sampling recur on, for example, the 1st of every month, while the 30d option would have sampling recur every 30 days.

·         The Collect Within field is used by SiteFX to track and notify the user when samples are overdue.

·         When selecting packages, a new row is always automatically added under the current row so that you can select as many Test Packages as are needed.

Sampling Programs – Sampling Program Creation - Deleting Analysis Packages

Method 1

1.        Select the grey box directly to the left of the analysis package you wish to Delete. This will high light the row.

2.        Press the Delete key on the keyboard. A message box will appear asking you to confirm deletion. Press Yes to delete.

Method 2

1.        You can also press the small garbage can icon that appears below the analyses.

Sampling Programs – Sampling Program Creation - Adding Analysis Packages to Individual Intervals

Many sampling programs are built on a series of monitoring points with similar sampling requirements, plus several additional analytical packages added to a subset of the monitoring points.  Section 4 of the form is used to add these additional sampling requirements (Note - to add analysis packages that should be applied to ALL intervals of a program,  see the section called Adding Analysis Packages to All Intervals of a Sampling Program).

1.        If not already selected, choose the program name from the Program Name drop down list.

2.        Press the Edit Program button.

3.        Select an interval from the Intervals to be Sampled list. Section 4 of the form will show the individual sampling requirements for the selected interval.

4.        From the drop down lists under Section 4 – Analysis and Frequency,  select the required analytical package(s).  Multiple packages can be assigned to a single interval. 

Note: The list of packages is generated from the Laboratories form (see the Laboratories section for more information). The Create Sampling Programs form may need to be closed and re-opened to update the list of packages if changes to the laboratory packages have been made during the current working session.

5.        For each selected package, choose the required sampling frequency (if a recurring program) and edit the Collect Within field to specify the windows of time to allow for sample collection.

6.        Press the Save / Cancel Changes button when finished all changes.

Sampling Programs – Sampling Program Creation - Deleting a Sampling Program

1.        If not already selected, choose the desired program from the Program Name drop down list in the top left corner.

2.        Press the Edit Program button.

3.        Press the Delete Program button. A message box will ask you to confirm deletion. Press Yes to delete.

4.        Press the Save / Cancel Changes button when finished.

Sampling Programs – Sampling Program Creation - Duplicating a Sampling Program

Often when creating programs it is quicker to duplicate an existing program and then make edits (such as the start and end date).  Simply choose the desired program then press the Duplicate Program button in the bottom left corner. You will be immediately be prompted to enter a new name for the program.

You will automatically be entered into Edit mode when you duplicate a program. When finished your edits, press the Save / Cancel Changes button.

Sampling Programs – Sampling Program Creation - Renaming a Sampling Program

1.        Simply choose the program you wish to rename

2.        Press the Edit Program button

3.        Press the Rename Program button in the bottom left hand corner.

4.        Press the Save / Cancel Changes button.

Sampling Programs – Sampling Program Creation - Printing a Program Schedule

The Program Schedule report will generate a listing of all selected sampling points, the sampling requirements of ALL intervals in the program and the sampling requirements of individual intervals.

1.        Select the appropriate program from the Program Name drop down list

2.        Press the Print Program Schedule button (located in the bottom left corner).
